What goes into a phone note

Six details that are the same for every call.

  1. Date, time, durationWhen the call took place — important for follow-up questions and deadlines.
  2. CallerName, company, callback number and email.
  3. For whomIf the note is passed on: who it’s for.
  4. Reason for the callIn one sentence: what it’s about.
  5. CommitmentsWhat was promised, with a date.
  6. Callback and completionWhen the callback is due — and when it was dealt with.

Tips

How no call gets lost

  • Write during the call — Not afterwards — by then the number and the commitment are gone.
  • Repeat the callback number — Read it out loud and have the caller confirm it.
  • One place for everyone — Notes go with the customer in the CRM or in the ticket, not on your desk.
  • Commitments with a date — “I’ll get back to you” becomes “Callback by Friday”.

Questions

Questions and answers

What is the difference between a phone note and a conversation note?

In terms of content, hardly any. A phone note is usually shorter and is often used to pass a message on to colleagues; a conversation note records in more detail what was discussed.

Where should I keep phone notes?

Where your team can find them: with the contact in the CRM, in the ticket or in the file. Slips of paper and loose documents get lost.

Can I record the call to write the note?

Only with the other person’s consent. Secretly recording a call is a criminal offence in Germany (§ 201 StGB).
